We are a parent run club, and rely on many volunteers to help keep the club running smoothly! Our largest need for volunteers is at our swim meets! Please see the list to the left for current volunteer opportunities.

FALL/WINTER 2008-09 VOLUNTEER POLICY

Dear Swim Families,

Swim STMA is a parent run organization which operates solely on parent volunteers. Our club cannot function without our parents and family members volunteering. Our biggest need each season is making sure that we have enough volunteers to staff all the positions needed to run the meets that our team hosts. This season, we have only one home meet and your volunteer efforts at that home meet in February is MANDATORY for all families, regardless of when your swimmer starts the season.

The Swim STMA Sea Devils has a point based volunteer policy comprising of both MEET and GENERAL volunteer service points as well as a volunteer incentive program, all of which are detailed below.

MEET SERVICE POINTS:

  • Each family must earn a minimum of ten (10) MEET SERVICE POINTS for the 2008-09 Fall/Winter season.
  • You will earn five (5) Meet Service points for each complete meet session that you volunteer for.Each family must volunteer for 2 of the 4 sessions at the Swim Meet on February 7-8, 2009. Of those two sessions, 1 must be an AM session and 1 must be a PM session. Sessions usually range from 4-6 hours.
  • While we'd rather have your time than your money; if you are unable to volunteer for the sessions described above, your swimmer’s account will be charged $50 for each session where the requirements are not met.

GENERAL SERVICE POINTS:

  • Each family must earn a minimum of five (5) GENERAL SERVICE POINTS for the 2008-09 Fall/Winter season.
  • General Service Points are earned by signing up for jobs such as meet preparation (setup, baking, stapling programs, etc.), Meet Cleanup, fundraising efforts, attending board meetings or any other volunteer opportunities that might come up throughout the season.
  • If you do not complete all 5 of your points by the end of the season, your swimmer’s account will be charged $15 for each uncompleted point.

VOLUNTEER INCENTIVES:

The requirements listed above reflect the minimum level of participation that we ask of each swim family. We are lucky to have many families that repeatedly go above and beyond. To encourage everyone to go that extra mile, we now offer a Volunteer Incentive Program. For your first ten (10) meet service points, you will be entered into a drawing, to be held at the end of the season. After achieving the initial meet service points, you can earn additional entries into the drawing; for each five (5) meet points or each five (5) general points you earn. You cannot combine meet and general points together for the drawing. A family who meets the minimum volunteer points will have a single entry into the drawing. Additional entries can only be achieved through volunteering above the required minimum. There is NO LIMIT to the amount of entries your family can earn, the more you volunteer, the better your chance of winning! There will be two entries selected in the drawing and the winning entries will each receive a $250 credit to their SWIM STMA account. The credit can only be used for registration in the next season, or for meet fees. The credit must be used within 1 year and cannot be used for MSI fees, equipment purchases or redeemed for cash.

The volunteer non-voting board members automatically receive 20 General Volunteer Service Points in addition to any additional meet or general service points that they earn. Elected Board Members themselves are not eligible for volunteer incentives, but their family members who volunteer are eligible.

Spring/Summer 2008 DRAWING ENTRIES

This season we added a great new volunteer incentive. To be eligible for this drawing, your family needed to volunteer at a minimum of 2 sessions at the Home Meet in May. There were opportunities throughout the season to earn additional points and earn additional drawing entries.

2 familes from the following list will earn a credit of $250 towards their swimmers' account!

Volunteer Job Descriptions

Timing - Observe the meet up close! A large number of timers are needed at each swim meet. The timers use stopwatches and devices hooked to the timing system to record backup times & ensure accurate times are received for each swimmer. Timers may also be responsible for handing out “Best Time” ribbons to swimmers at some meets.

Head Timer - The head timer is responsible for starting the backup watches for each event. Those watches can be provided to any timer who missed starting theirs or had a watch malfunction. The head timer is also responsible for obtaining back up times in the event that a swimmer does not touch the stop pad and stop the timing system.

Concessions - Help out the team by serving and selling food to swimmers, parents, and spectators! A concession team member will also be responsible for bringing water and snacks to our coaches and officials.

Program Sales - Greet spectators and sell the programs that list the event, lane, and heat for each swimmer.

Meet Set Up - Volunteers are needed to help setup chairs, tables, touch pads, and other equipment for the meet.

Meet Clean Up - Volunteers are needed to help put away chairs, tables, touch pads and other equipment, taking out garbage, check locker rooms, and other general clean up after the meet is over.

Awards Table - Volunteers at the awards table are responsible for posting heat results and organizing and labeling ribbons.

Announcing - Be the voice at the meet! The announcer is responsible for announcing swimmers’ names and clubs for each event.

Computer - A volunteer is needed to run and monitor the computer that is hooked up to the timing system, printing results, and printing labels for awards.

Omni - This is the timing system used by our swim club. A volunteer is needed to setup and monitor the timing system during the swim meet. This volunteer is also responsible for making sure that the clock stops after each event and getting backup times if the swimmer does not touch the pad.

Meet Official - Are you interested in learning more about becoming a USA Swimming Official? Officials are needed at all MSI sanctioned meets. As a Meet Official you will be trained as a stroke and turn judge. This is an exciting way to be more involved and learn more about your child’s sport!
